Len3 Gmail privacy
This policy describes how Len3 accesses, uses, stores and shares Google user data when a real estate agent connects Gmail to Len3. Len3 is operated by Codylv LLC. Connecting Gmail is optional.
Updated November 5, 2026
What Len3 can see
When you connect Gmail, you allow Len3 to read your email (the Gmail read-only permission). Len3 may check Inbox and Sent mail up to 90 days old and new messages after connection. Historical scans are limited, so some relevant older messages may not appear in Len3. It also receives your Google account’s email address to identify the mailbox.
Where your Len3 deployment offers saving replies to Gmail Drafts, Len3 asks separately for Google’s Gmail compose permission, which includes managing drafts and sending email. Len3 uses that permission here only to save a draft into the conversation you are answering, when you press “Save to Gmail Drafts”. Saving a draft does not send email; you review and send it in Gmail. Sending from Len3 is off by default. If your Len3 deployment enables that separate feature, it requires your Gmail send permission and your authorization of a reply or limited delegation.
What Len3 keeps
Len3 keeps only email about your clients and escrows: messages from or to a client’s email address, messages naming the full address of a home on a client’s list, replies in a conversation you linked to an escrow, and messages from or to people and domains you chose to track. Every other message stays in Gmail and is never stored by Len3.
For a message it keeps, Len3 stores its headers (such as sender, recipients, subject and date), its text, and the names and sizes of its attachments. An attachment’s contents are read only when you add that attachment to an escrow. The access Google grants Len3 is stored encrypted.
How Len3 uses it
Len3 shows kept email in Mailbox and, where linked, in Escrows, and tells you which conversations are waiting for your reply. In Mailbox or Messages, you can select a kept email and ask Len3 to review its requests or draft a reply. Google’s Gemini API processes that email text to prepare the review or draft and, if enabled, your saved reply style.
Len3 does not sell Google user data, use it for advertising, or use it to develop, improve or train AI models. It does not use your email to decide anything about you or your clients on its own; every draft and suggestion waits for you.
People at Len3 do not read your email unless you ask us to (for example, for support), it is needed for security or to investigate abuse, or the law requires it.
Sharing
Len3 shares Google user data only with the service providers that run the features above: Google Cloud, which hosts Len3 and its database, and Google’s Gemini API, which prepares drafts and reviews selected email. It is not shared with anyone else, except when the law requires it or as part of a merger, acquisition or sale of Len3, only after obtaining your explicit prior consent.
Google’s Gemini API retains prompts, context and responses for 55 days for abuse monitoring. Disabling Len3’s AI request logs does not remove that separate retention. See Google’s retention policy.
Len3’s use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.
Your choices and deleting your data
You can disconnect Gmail at any time from the Mailbox. Len3 then stops future mailbox reads through that connection. Google permission removal is separate: encrypted token references queued for revocation may remain held. Disconnection does not confirm that Google has removed Len3’s permission or that every stored token has been deleted. Disconnecting does not delete the email or derived records already saved in Len3. You can remove Len3’s permission yourself in your Google Account permissions.
For a deletion request, contact hello@len3.ai. Complete deletion of imported email and derived records is not yet supported. We review saved copies with you and report what was deleted, retained or still pending.
